Who handles your data
The data controller is Termoidraulica PD, Italian VAT number 05180040288. Address: Viale della Navigazione Interna 51, 35129 Padova, Italy.
For questions about your data and to exercise your rights: info@termoidraulicapd.it.
Data requested and purposes
When you contact us, we process your name, email address, optional phone number, the town where work is needed and details of the work. We use them to reply, assess the job, prepare a quotation and agree the next steps. Do not send identity documents, health data, passwords or other unnecessary information.
Required form fields are needed to handle your enquiry; without them the form cannot be submitted. Other details are optional. The privacy checkbox records that you have read this notice; it does not authorise promotional messages.
We also process data necessary for the technical development, delivery, security, improvement and monitoring of the website and services. This includes operating the services, diagnosing errors, preventing abuse and unauthorised access, and checking service quality. We use only relevant data and prefer aggregated or anonymised data where the purpose allows. Statistical monitoring is described in the Matomo section.
We may also process relevant data to establish, exercise or defend the rights of the controller or a third party, in or out of court, including handling disputes and requests from authorities.
We also handle voluntarily provided feedback and reviews to assess service quality, understand problems, respond to concerns and improve our services. Giving feedback is optional and does not affect service delivery. We publish a review on our website with a name, image or other details identifying the customer only with their specific authorisation; messages received through the form are not published automatically. Reviews left on external platforms are also subject to those providers’ privacy notices.
Necessary data is also processed to administer the relationship and meet accounting and tax requirements: preparing and managing contracts and documents, invoicing, recording payments, tax compliance and retaining legally required records. These activities are based on performing the contract and complying with applicable legal obligations (Article 6(1)(b) and (c)).
Legal basis
For quotations and service requests, processing is necessary to take steps at your request before a contract or to perform a contract (GDPR Article 6(1)(b)). For business contacts, processing relies on the legitimate interest in managing professional relationships and enquiries (Article 6(1)(f)). Statutory obligations are based on Article 6(1)(c).
Enquiry data is not automatically used for newsletters, advertising or profiling. Planned marketing activities are subject to the specific choices described in the relevant section. We do not make decisions with legal effects based solely on automated processing.
Technical activities not strictly necessary to perform the contract and the protection of rights rely on the legitimate interests of the controller or the relevant third party (Article 6(1)(f)): respectively, providing reliable, secure and high-quality services and protecting rights, after assessing necessity, proportionality and impact on individuals. Article 6(1)(b) applies where necessary for the requested service, and Article 6(1)(c) to legal obligations. Activities requiring consent are enabled only after consent is obtained; acknowledging this notice does not replace it.
Handling feedback and assessing quality rely on the legitimate interest in reviewing and improving services (Article 6(1)(f)), within the limits described above. Publishing identifiable reviews on our website relies on specific consent (Article 6(1)(a)), which can be withdrawn by writing to info@termoidraulicapd.it without affecting the lawfulness of earlier processing. The form checkbox does not constitute consent to publish a review.
Who can access the data
Data can be accessed by people authorised to handle enquiries and, where necessary for the job, professionals involved in the work. Hosting, email and IT support providers may process it to provide their services, according to their role and instructions. Data may be disclosed to authorities where required by law. Enquiry data is not made public.
The controller’s professional service providers, including its accountant and accounting, tax and legal advisers, may also receive data where needed for administrative or statutory obligations, professional advice and the protection of rights. We share only data relevant to their assignment. They act as processors when handling data on our behalf and under our instructions, or as independent controllers for processing carried out under their own responsibility.
Professionals selected for your enquiry
Recipients of data received through enquiries include professionals selected to address the specific need. We share only contact details and information relevant to assessing and handling the enquiry. These professionals will act as independent data controllers, under their own responsibility and privacy notice, including for the exercise of rights relating to their processing.
How long we keep data
If an enquiry does not lead to work, we delete the data within 24 months of the end of the year of the last contact. For example, if the last contact was in 2026, the deadline is 31 December 2028. This also applies to related correspondence.
If work is commissioned, we retain the data needed to manage the relationship, meet legal obligations and protect rights relating to the work. If a dispute arises, we retain only relevant data for as long as needed to handle it and comply with applicable time limits.
Identifiable feedback is kept for as long as needed to handle it and any related concerns; once this is complete, it is deleted or anonymised, unless documented needs to protect rights require retention. Reviews published with consent remain online while the publication purpose continues or until consent is withdrawn, whichever is earlier. The need to retain them is reviewed periodically.
Newsletter delivery data will be kept while the subscription is active and the purpose continues, with periodic checks of whether it is still needed. Promotional messages will stop after unsubscribing; only the minimum data needed to document choices, honour objections to further messages and protect rights may be retained for as long as those purposes require.
Your rights
Where the GDPR provides, you can request access, correction, erasure, restriction of processing and data portability. You can object to processing based on legitimate interests on grounds relating to your situation. Write to the email address above; if needed, we will ask only for information necessary to verify your identity.
You may also lodge a complaint with the Garante per la protezione dei dati personali or another competent supervisory authority.
Form submission and handling
When you submit the form, Gravity Forms records your enquiry in the website’s WordPress database and generates a notification to info@termoidraulicapd.it. The notification contains the details needed to respond; your email address is used for replies. The date and time, submission page, technical browser information and acknowledgement of this notice, including the checkbox text and revision, are also recorded. The form is configured not to store your IP address with the enquiry. The on-screen confirmation acknowledges receipt of the enquiry; it does not book a visit.
The form’s spam protection helps limit automated submissions. Hosting and email services may process technical data needed for operation and security, separately from the data stored with your enquiry. Submitting the form does not subscribe you to newsletters or promotional messages.
Newsletters, marketing and tracking tools
Submitting an enquiry does not subscribe you to the newsletter or authorise marketing or advertising tracking.
Newsletter subscription is optional and requires a dedicated, unticked choice separate from enquiries or service requests. If you subscribe, your email address, optional name and stated preferences are used to send updates, offers and information about Termoidraulica PD services. You can unsubscribe using the link in each newsletter or by writing to info@termoidraulicapd.it.
We will use Brevo to manage subscribers and send newsletters. Brevo will process data on our behalf as a processor under an agreement pursuant to GDPR Article 28. Only data needed for signup and delivery, preferences, consent records and any authorised interaction events will be transferred. The content of service enquiries will not be transferred automatically to the newsletter list.
To measure newsletter effectiveness and adapt content and frequency to expressed interests, we may use open-tracking pixels and links that record clicks, only with your specific consent. These tools can associate message opens, selected links, interaction dates and times, and technical information such as IP address, browser and device with a recipient. Consent to this individual tracking is separate from newsletter consent: you can receive the newsletter without accepting tracking and withdraw tracking consent without unsubscribing.
On the website, advertising cookies, pixels and similar technologies may be used with prior consent to measure campaign results, attribute website actions to ads and show advertising relevant to interests inferred from browsing, including to previous visitors. These are advertising measurement and profiling activities, separate from the aggregate statistics planned with Matomo. They may involve pages visited, clicks, conversion events and online identifiers; they will not include free text entered in forms.
The legal basis for these activities is consent (GDPR Article 6(1)(a); tracking is also subject to Article 122 of the Italian Privacy Code and promotional messages to Article 130). Choices are separate by purpose, optional and can be withdrawn. Refusing or withdrawing consent does not prevent browsing or requesting services. Acknowledging this notice does not authorise marketing or tracking. Withdrawal does not affect the lawfulness of earlier processing.
Newsletter signup and tracking for marketing purposes are disabled. No advertising pixels are installed on the website.
Site statistics with Matomo
Matomo statistics collection is disabled. No browsing data is collected through this tool.
Videos embedded from external services
Where present, YouTube and Vimeo videos remain disabled until you explicitly choose to load each video. Before that choice, we do not load players, scripts or thumbnails from the providers. Loading is optional and shares your IP address and technical browser data with the provider; cookies may be used. We use YouTube privacy-enhanced mode and Vimeo’s Do Not Track parameter: these options do not make the connection anonymous. Your choice is not saved for future visits. You can stop loading by selecting “Remove video”; this does not delete data already received by the provider or cookies already present. Information and the contact form remain available without loading videos.
After consent, YouTube also receives the site origin needed for its player, without the page path or query parameters. We do not send the referring page address to Vimeo.
Loading videos and the resulting disclosures of data rely on consent given through the button for each video (GDPR Article 6(1)(a); Article 122 of the Italian Privacy Code where applicable). Providers may process data outside the European Economic Area, including in the United States. Their privacy notices describe recipients, retention periods and safeguards for transfers, such as adequacy decisions and standard contractual clauses. To obtain information about safeguards or exercise your rights, use the contact details in the providers’ notices or write to info@termoidraulicapd.it.
